This Privacy Policy explains how Shenzhen IDRFID Technology Co., Ltd. (“IDrfid”, “we”, “us” or “our”) collects, uses, shares and protects personal information when you visit www.idrfidtech.com (the “Site”), request a quotation, place an order, or otherwise interact with us.

We are a manufacturer of RFID and NFC tags, labels, inlays and cards, serving business customers worldwide. Most of our dealings are with companies rather than individual consumers, but we are committed to handling any personal information we receive in accordance with applicable data protection laws, including the EU/UK General Data Protection Regulation (GDPR) and, where applicable, the California Consumer Privacy Act (CCPA).

1. Information we collect

1.1 Information you provide to us

When you submit a quotation request through our contact form, send us an email, or contact us by telephone or messaging applications, we may collect:

  • your name and the company you represent;
  • business email address and telephone number;
  • country or region, and delivery address where relevant;
  • the product requirements, quantities, technical specifications and files you send us;
  • any other information you choose to include in your message.

1.2 Information collected automatically

When you visit the Site, we and our service providers automatically collect technical information, including:

  • IP address and approximate location derived from it;
  • browser type and version, operating system, and device type;
  • the pages you view, the time and duration of your visit, and the page that referred you to us;
  • identifiers stored in cookies and similar technologies (see section 4).

1.3 Information we do not collect

We do not intentionally collect sensitive categories of personal data, and we ask that you do not send us such data through the Site forms. We do not process payment card data on the Site; any payment arrangements are handled separately through agreed business channels.

2. How we use information

We use the information described above to:

  • respond to your enquiry and prepare quotations, samples and technical proposals;
  • fulfil and administer orders, and provide after-sales support;
  • communicate with you about your enquiry, project or order;
  • operate, maintain and improve the Site and our products and services;
  • measure the effectiveness of our advertising and marketing activities;
  • comply with legal, tax, customs and accounting obligations;
  • protect our rights and prevent fraud or misuse of the Site.

We do not sell your personal information, and we do not use your contact details to send unrelated marketing messages without a lawful basis or, where required, your consent.

3. Legal bases for processing

Where the GDPR or UK GDPR applies, we rely on the following legal bases:

  • Contract and pre-contractual steps — to respond to your quotation request and to perform an order you have placed with us.
  • Legitimate interests — to operate and secure the Site, to improve our products and services, and to measure and improve our business-to-business marketing, in each case balanced against your rights.
  • Consent — for the use of non-essential cookies and similar technologies, and for any marketing communications where consent is required. You may withdraw consent at any time.
  • Legal obligation — to keep records required by tax, customs and other applicable laws.

4. Cookies and tracking technologies

Cookies are small text files placed on your device. We use them and similar technologies to keep the Site working, to remember your preferences, and to understand how visitors use the Site.

4.1 Categories we use

  • Strictly necessary — required for the Site to function and to record your cookie choices. These cannot be switched off through our consent banner.
  • Analytics — help us understand how visitors reach and use the Site, so we can improve it.
  • Advertising and measurement — allow us and our advertising partners to measure the performance of our advertising campaigns and, where you have consented, to show you relevant advertising on other websites.

4.2 Managing cookies

You can accept or reject non-essential cookies through the consent banner shown on your first visit, and change your choice at any time through the cookie settings link in our footer. You can also block or delete cookies through your browser settings. Please note that blocking certain cookies may affect how the Site works.

5. Advertising and analytics

We use Google services to measure the performance of our advertising and to understand how visitors use the Site. In particular:

  • We use the Google Ads measurement tag (conversion ID starting with AW-) to understand which advertisements lead to enquiries, and to display our advertisements to people who have previously visited the Site.
  • Information collected through these tags may be processed by Google as described in Google's own privacy documentation.

Where the GDPR or UK GDPR applies, advertising and analytics cookies and the associated data collection are only activated after you give consent through our consent banner. If you do not consent, these technologies do not set advertising or analytics cookies on your device.

You can control personalised advertising through:

  • Google Ads Settings — adssettings.google.com;
  • your browser's cookie settings; and
  • the consent banner on our Site.

6. How we share information

We share personal information only as described below, and never for the purpose of selling it:

  • Service providers — suppliers who process information on our behalf, such as our website hosting provider, email and IT service providers, and our advertising and analytics providers. They are permitted to use the information only to provide services to us.
  • Advertising and analytics partners — such as Google, for the purposes described in section 5.
  • Business platforms — where you contact us through a third-party business platform such as Alibaba, your information is also handled under that platform's own privacy policy.
  • Professional advisers — auditors, lawyers and insurers where necessary.
  • Authorities — where we are required to disclose information by law, or where disclosure is necessary to establish, exercise or defend legal claims.
  • Business transfers — in connection with a merger, acquisition or sale of assets, in which case we will take steps to ensure your information remains protected.

7. International transfers

We are based in China and serve customers worldwide. The information you send us may therefore be transferred to, stored in, and processed in China and in other countries where we or our service providers operate. Some of our service providers, including Google, are located in the United States and other jurisdictions.

Where we transfer personal information out of the European Economic Area, the United Kingdom or Switzerland, we take steps to ensure an adequate level of protection, which may include relying on the European Commission's Standard Contractual Clauses or another lawful transfer mechanism offered by the relevant provider.

8. Data retention

We keep personal information for as long as necessary for the purposes described in this policy. Enquiry and quotation records are normally retained for up to three years from our last contact with you, unless a longer period is required for a contract, a legal obligation or the establishment or defence of legal claims. Cookie and analytics data is retained according to the retention settings of the relevant provider. When information is no longer needed, we delete it or anonymise it.

9. Your rights

Subject to applicable law, you have the right to:

  • request access to the personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete information where there is no good reason for us to keep it;
  • object to, or ask us to restrict, certain processing;
  • withdraw consent at any time, where processing is based on consent, without affecting the lawfulness of processing carried out before withdrawal;
  • receive certain information in a portable format;
  • lodge a complaint with your local supervisory authority.

To exercise any of these rights, please contact us using the details in section 13. We will respond within the period required by applicable law, normally within one month. We may need to verify your identity before acting on a request.

If you are a California resident, you may also have the right to know what categories of personal information we collect and how it is used, to request deletion, and not to be discriminated against for exercising your rights. We do not sell personal information as defined by the CCPA.

10. Security

We maintain technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse or alteration. These include encrypted transmission over HTTPS, access controls and internal confidentiality obligations. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information and to notify you and the relevant authorities where a breach affecting your rights occurs.

11. Children

The Site is intended for business use and is not directed at children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

12. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or in applicable law. When we do, we will revise the “Last updated” date at the top of this page. Material changes will be communicated on the Site where appropriate. We encourage you to review this page periodically.
